Each person in your shop gets their own sign-in in GetFloristPOS, and a role decides what they can see and do. A designer can see the order book and recipes, a driver can see the van sheet and mark deliveries done, and only the owner sees purchase prices and profit. Roles are set once and reused for every new hire, and each user can be limited to the location they work at.
Before you start
- You have admin rights.
- Your locations are set up, if you have more than one shop.
- You know your plan’s user limit: Bud includes 4 users, Bloom 12 and Garden 40.
Steps
- Plan the roles your shop needs. Most florists use four: Owner (everything), Manager (sales, stock, purchases, reports), Designer (sales, orders, recipes, stock adjustments) and Driver (deliveries only). Write down what each should and should not see before you start.
- Create a role and set permissions. Go to Settings → Roles → Add. Name the role and tick the permissions. For a Designer, allow viewing and creating sales, viewing products and recipes, and adding stock adjustments for waste. Leave purchase prices, profit reports and settings off. For a Driver, allow viewing and updating shipments only.
- Add a user for each staff member. Go to Users → Add user. Enter their name, phone and a username, choose their role, and, if you pay staff through the HRM module on Garden, fill in their employment details.
- Limit users to their location. In the same form, under Access locations, tick only the shop or shops they work in. A Saturday helper at the second shop will then see only that shop’s stock and orders.
- Ask staff to sign in and set a password. Give each person their username and temporary password in person. On first sign-in they set their own password and can choose their interface language, such as Spanish, Arabic or Urdu.
- Review access when someone leaves. Go to Users, open the person and set them to Inactive. Their past sales stay in your reports, but they can no longer sign in. Change any shared passwords, such as the shop tablet’s.
Common problems
A user cannot see the Sell screen
Their role is missing the sales permission, or they have no access location. Edit the role or the user and save.
Staff can see profit figures
The role includes profit or purchase price permissions. Edit the role, untick them, and ask the user to sign out and back in.
I have reached my user limit
Deactivate users who have left, or move to a plan with more users. See the pricing page for the limits on each plan.
